Database Backup / Export and Import - Quick Options

The Quick options tab of the Manage Backup window gives access to two features:

One button backup

This handy feature allows simple and quick back up of the EPM Master database and all its associated User databases. To get a backup immediately, all you have to do is press the "Run Backup Now" button.

Button Feature Glossary

Button / Feature
Description
Last Known Backup Date
Indicates the last date that the One Button Backup feature was used.
Last Known Backup Location
Indicates the location of the backup folder the last time One Button Backup was used.
Proposed New Backup Location
The location ("path") on your system where the new backup files folder will be placed. Note that what you enter here is stored for the next time you use One Button Backup.
Browse
Opens a Windows folder selector dialog allowing you to select visually a location for the Proposed New Backup Location.
New Backup Files Folder Name
When One Button Backup starts, all the backup files get placed into a new folder that is created within the "Proposed New Backup Location". This field determines the name of the new folder.
Suggest
Will generate a new folder name and for the "New Backup Files Folder Name" field which will consist of the current date and time.
Run Backup Now
Starts the ne button backup process and will place the Master Database, and all of the related user Databases into the location you have selected.

Further Details

When you press the "Run Backup Now" button, EPM will use the folder path indicated in "Proposed New Backup Location" as the location to place the backup files. First it will create a new folder which is named as the entry in "New Backup Files Folder Name" and then it will place all relevant back up files in that new folder.

It is advised that you choose a suitable backup location that will allow you to recover your data in the event of your PC failing. You could perhaps choose a location that is a floppy disk or perhaps a network drive on another computer.

When you set a backup location, this is retained the next time you go the page. So for example if you selected D:\MyOtherPC\Backup as the Proposed New Backup Location this will be the location the next time you come back to the One Button Backup window. See the glossary below for more details on each field.

NOTE: If you use this option regularly (as recommended) it should be noted that EPM does not automatically delete previous backup. This is left to the user and so from time to time it is recommended that the user checks the backup directory and clears out any old excess, backup directories.

The Advanced Options tab of the Manage Backups window gives access to the import export features listed below. Before using these it is a good idea to have an understanding of the difference between the Master Database and User Databases

Difference Between Master and User Databases

Master Database - Easy Password Manager has only one Master Database at any time. The master database is where EPM holds information about what user accounts have been created, and the location of the related databases for each user account.

User Database - A User Database is where all the password and identity information for a particular user is stored (in it's encrypted format). Therefore there is one User database created for each User account within EPM.

Note: Advanced information only. When given the option, it is recommended that users use relative paths particularly if they are unsure what to choose.

You do not really need to worry too much about the meaning of an absolute or relative paths but for those who would like to know here follows an explanation:

Export / Import - User Database Import

Importing of User databases is mainly used when you either want to restore a backup of a particular User Database or you have a User Database that you are using on more then one PC. To do the import you must give the imported User Database a username with which it can be represented by in the Master database into which it is being imported. Also the path of the file to be imported must also be provided.

Note that when a User Database is imported, the actual file is not changed. All that happens is that an reference to the file is placed into the Master Database and therefore the User Database is available for use within that Master Database.

Description
Username to associate with Imported User Database
When importing a User Database into a Master Database, the User Database needs to have a username by which it is associated. (It does not have to be the same as when the User Database was originally created). This field is used to determine that username. Therefore, once the import is complete, the User Database will be available for log in by selecting the User name the was entered into this field. Note that a username must be unique within a Master Database so if the username already exists you will be asked to choose another one.
Full Path to User Database file to import
This is the path to the user database file that you wish to import into the Master Database. Either type the path manually or use the Browse button to select a file.
Browse
Press this button to open a file dialog to allow you to select a file that you want to import. The path to the file that you select will be placed into the User Database Full Path text field (see above).
Path to File as

There are two available options of which one can be set when importing a User Database :

  • Relative to Master DB - Path to User Database file is stored as a Relative path from the Master Database.
  • Complete Path to File (Absolute Path) - Path to the User Database file is stored as a complete path determined by the file system.

See the section above (use links) for more information on relative and absolute paths.

Import Now
Press the button when you have set the relevant information about the file to be imported as this will begin the actual import process.
Cancel
Press this when you have finished importing or decided that you do not need to.

Export / Import - User Database Export

Use this option when you want make a copy of a User Database whether for backup purposes, or to perhaps install the same user database to a second location such as a laptop or second PC. When exporting the original file that is being exported is left intact.

Description
Select the Username you wish to export
Select here the username whose User Database you want to export (produce copy). The drop down list box will show all the User databases currently listed in the Master Database.
User Database File Name
This displays the current filename for the select user's User Database. This will also be the file name of the file that is exported.
Export Location
This is the path to where you want the the User Database file to be placed after export. Therefore this is where the copy of the User Database will be placed. Either type the path manually or use the Browse button to select a file.
Browse
Press this button to open a file dialog to allow you to select a folder path to place the file that you want to export. The path that you select will be placed into the Export Location text field.
Create New Folder for Exported File

With this checkbox checked, a new folder is created when exporting User Databases. The folder will be created in the "Export Location" (see above) and the name of the folder is determined by the "Export File Folder name". The Exported User Database is then placed into this new folder.

Auto Suggest Exported Filename
With this option checked, when you select a Username to Export, the "Suggest" button (See below) will act as if it has just been pressed.
Export File Folder name
This text box will not be visible unless the "Create New Folder" checkbox (See above) is checked and if so the name of the folder that is to be created is determined by this text box. The folder is created when exporting a User Database, and is created at the location set for export. The Exported User Database is then placed into this new folder.
Suggest
This button is only available when the "Create New Folder" checkbox is checked. Pressing this button will generate a suggested folder name and put it in the "Export File Folder Name" text box (See above). The name of the suggested folder is based on the Username of the User Database that is being exported and the current date and time.
Export Now!
Press the button when you have set the relevant information about the file to be exported as this will begin the actual export.
Cancel
Press this when you have finished exporting or decided that you do not need to.

Export / Import - User Database Move

This feature allows you to relocate a users User Database to a different location on your hard drive (or perhaps even a network drive). If you were just to move the User Database using the Windows file system, then Easy Password Manager would not know the new location of the User Database for this user. By using this feature, the file is moved automatically to your selected location and the Master Database is updated with the new file location information.

Description
Select User whose database is to be moved.
This is where you select the User whose User Database you want to relocate.
Selected User's Database current location
This displays the full path to the folder containing the current location of the User's Database. This is for reference only and cannot be directly edited.
Selected User's database current filename:
This displays the actual file name of the current User's Database. Combined with location field above gives the full path to the User's Database file. This field cannot be edited.
Desired New User dB Location
This determines the location of where the User Database is to be moved to.
Browse
Press this button to open a file dialog to allow you to select the location path of where you want the User Database to be moved to. The path to the folder you select will be placed into the "Desired New User dB Location" text field (see above).
Move
Press the button when you have set the relevant information about the User Database to be moved and are ready to begin the actual User Database move process.
Done
Press this button when you have finished moving User Databases or have decided that you do not need to.

Export / Import - Change Master Database

Changing the Master Database in use will replace the current Master Database with the Master Database that is indicated by the user. Note that the actual current Master Database file will be left unchanged.The only thing that actually changes is the internal parameter within EPM which indicates the location of the Master Database to use. It will be updated to reflect the location of the selected Master Database. This option might be needed if restoring a previously backed up Master Database. Note that when setting a Master Database as the current one in use, it of course brings with it all of the associated User Database's.

Important Note: After changing Master Database, you will need to close and restart Easy Password Manager in order for the new Master Database to become the Master Database in use.

Export / Import - Master Database Export

Exporting the Master Database used the same processes as when using the One Button Backup feature. What happens is that the Master Database, along with all the related User Databases are exported to the folder specified. A new folder is created that contains the Exported Master Database, and in that folder another folder is created which contains all the User Databases.

The exported User Database files have their locations paths in the Master Database set as being relative to the Master Database. This means the entire exported folder can easily be moved around with out worry about complete fixed paths to the User Database's.

Follows is an example of how an exported Master Database might look after exporting:

This button is used to suggest a export file folder name based on the current date and time. When pressed a folder name will be placed into the Exported files folder name text field (see above).
Export Now!
Press the button when you have set the relevant information about the location of the files to be exported as this will begin the actual Master Database export process.
Cancel
Press this when you have finished exporting or decided that you do not need to.

Export / Import - Master Database Move

This window allows the user to move the location of the Master Database to a new location. Any relative path information will also be updated after the Master Database has been moved. Moving the Master Database manually through the Windows file system may not work properly as the relative file path information to the User Database's will not be updated. Therefore this feature has been made available.
